SPRING 2008 SPACE ALLOCATION PROCESS

We are announcing the opening of the Spring 2008 space allocation process for all Recognized Student Organizations. This process provides an opportunity for student organizations to schedule major events to be held on North Campus in the Schine Student Center Goldstein Auditorium, Schine Underground, Schine 304ABC; also on South Campus in the Goldstein Student Center 201ABC, Goldstein Student Center Dining, and the Skybarn, during the Spring 2008 semester. If this is of interest to your organization, please follow the following steps accordingly:

1. Please review a calendar of events that includes university-wide programming that is posted on the following website: http://students.syr.edu/scps/calendar.html as you complete the Spring 2008 Space Allocation Request Form that you will find attached to this letter. Please note that all Recognized Student Organizations must provide at least three potential programs/events dates to complete the Space Allocation Request Form.

*Those organizations interested in requesting space for traditional university-wide programming, such as Homecoming & Parents Weekend, must complete the Traditions Programming Application that is also attached to this letter. The Traditions committee will review all Traditions Programming Application Forms and contact each organization directly that has been selected to be apart of Winter Carnival.

2. Schedule an appointment with your organization’s OSL consultant between September 17 and October 18 to discuss date choices, program content and to obtain your consultant’s signature on the completed Space Allocation Request Form.

3. Return the completed Space Allocation Request Form to the SCPS office, suite 228D of the Schine Student Center by Thursday, October 18 at 3:00 p.m. (Forms submitted after this date will not be accepted.)

4. Pick up your official notification regarding your organization’s space allocation reservation status at the SCPS front desk between 9:00 am and 5:00 pm on October 23-October 25. Please keep in mind that you need to pick up your official notification and confirm your assigned date and location by October 25 before you can proceed further in this process.

5. All organizations planning a program/event must schedule an appointment with an SCPS consultant between October 23 and November 1 to secure an estimate for services. All estimates must be secured prior to 4:00 p.m. on Thursday, November 1. Please Note that if your organization is applying for SA funding, your organization must submit an estimate of services as a part of the Student Association budget allocation process.

Due to the anticipated volume of space allocation requests, please understand that your organization’s completion of the required paper work will not guarantee your organization’s date and location. Every effort will be made to accommodate all space allocation requests in a fair and equitable manner.
